Development Events Specialist

Under the direction of the Director of Development Events, Corporate Relations, & Donor Relations and in close collaboration with the respective development and hospital teams, this position supports the strategic planning, coordination, and execution of revenue-generating events and corporate engagement and donor relations initiatives for Brown University Health.


Key Responsibilities include, but are not limited to:


Event Management & Program Support:

  • Assists with the development, planning, and implementation of special events and fundraising programs designed to generate revenue and strengthen partnerships with corporate and community stakeholders.
  • Supports the development of event timelines, project plans, and resource allocation to ensure successful execution of all event components.
  • Carries out tasks consistent with the project plan to ensure optimum event execution, inclusive of management of and relationship building with all vendors associated with the event.
  • Assists in cultivation and solicitation of vendors; may negotiate terms and conditions of services to maximize cost/benefit to Brown University Health.
  • Assists with event committee meetings; preparation, development, and distribution of agendas and working documents. Takes minutes, as necessary.
  • Attends revenue generating events providing on-site event and volunteer management and logistical support, ensuring smooth execution and high-quality participant experiences.
  • Assists with providing closure to each event through written evaluations, acknowledgments, final budgets and recommendations for next year.

Corporate Relations & Sponsorship Support:

  • Supports the corporate solicitation process, including mailing the sponsorship packages, sending pledge reminders to sponsors, obtaining sponsor logos, obtaining sponsor guest names and sponsor stewardship (thank-you letters and follow-up).
  • Assists with the solicitation and coordination of event auctions including written descriptions, PowerPoint presentations and creation of collateral materials.

Donor Relations & Stewardship Support:

  • Assists with appropriate recognition and acknowledgment of event donors, sponsors and volunteers.
  • Assists in implementing stewardship strategies designed to enhance engagement and retention of donors and corporate supporters.
  • Assists with tracking and documenting stewardship activities within the organization’s CRM system

Administrative & Communications Support:

  • Collaborates on the creation of event business and marketing plans, including the development of expense and revenue budgets, tracking financial performance, and ensuring adherence to budgetary guidelines.
  • Assists with communications and follow-up related to development event recruitment, promotion, sponsorships, and volunteer management.
  • Assists with coordination of internal/external production of collateral materials associated with events including elements of design, writing, proof reading, printing, and mailing through designated sources. Follows up to ensure accuracy, completeness and timely receipt of materials/services.
  • Responsible for the business procedures associated with events, corporate relations, and donor relations related to in-kind donations, contracts, invoicing, and payments.
  • Maintains quality assurance, safety, environmental and infection control in accordance with established system policies, procedures, and objectives.
  • Performs other duties as assigned to support the goals of the Development, Corporate Relations, and Donor Relations team.

QUALIFICATIONS:

Bachelor’s degree in management, marketing, business, or a related field is for this position preferred.

Minimum of three years professional experience in a related field. Experience should demonstrate effective oral and written communication skills, critical thinking and strategy, strong leadership as well as organizational and time management skills.

Proven track record coordinating special events/promotions, recruiting and managing volunteers and strong planning and execution skills.

Candidate must be a self-starter and be able to work independently as well as part of a team.

Desired candidate must have strong interpersonal skills necessary to effectively interact with corporate sponsors, hospital executives, volunteers, patients and families, media, and general public.

Computer proficiency required including word processing, spreadsheet and database management applications, and graphic design. Raiser’s Edge experience a plus, but not required.


WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS :Normal office environment with occasional travel to off-campus sponsor or vendor sites within and outside the State of Rhode Island. Requires valid driver’s license and dependable vehicle to travel to off-site locations. Requires flexibility to accommodate night and weekend commitments. Ability to bend, squat, climb stairs and lift up to 25 pounds occasionally. Ability to move, set up and breakdown event space and materials.


SUPERVISORY RESPONSIBILITY: None. Provides functional guidance in event planning and execution to volunteer assistants.

Pay Range:

$57,340.19-$94,602.87
