Administrative Coordinator

Summary:
Reporting to Psychiatry Business Manager and in accordance with established policies and procedures coordinates support activities of assigned programs/clinic(s). Assists Psychiatry Business Manager daily by conducting financial and operational analysis to improve quality of services productivity revenue generation and efficiency within the Department of Psychiatry. Assists with gathering financial and qualitative data to prepare business and improvement plans.

Responsibilities:

Ensures adequate administrative support for clinicians.

Oversees facility maintenance and acquisition of capital items.

Provides data regarding provider activity and productivity and other statistical information as requested.

Develops and prepares various standard and ad hoc reports for the department including relevant volume data. Completes special analyses and projects as needed. Interprets explains and clarifies financial and statistical data produced.

Prepares financial and clinical data analyses for administrative and clinical directors quality improvement staff physicians and other hospital managers.

In consideration of the purpose and audience determines appropriate presentation format develops and consolidates materials and information into graphs charts tables PowerPoint slides etc.

Reviews all clinician employee reimbursements check requests and purchase orders.

Maintains inventory and orders office/medical supplies at own discretion according to knowledge of usage patterns and budgeted allowances.

Orders all clinician personnel supplies (i.e. approved stationary prescription pads appointment cards etc.)

Orders all technological supplies for clinicians (i.e. desktops monitors laptops etc.)

Prepares and follows up on purchase orders. Meets with vendors to review and/or evaluate new supplies or equipment.

Assists with clinician parking lot/security assignments.

Assists with employee compliance for training vaccinations and employee health records.

Assists Administrative Director and Senior Vice President with special projects on an Adhoc basis.

Performs other duties as assigned.

BASIC KNOWLEDGE:
Associates Degree preferred. Will consider High school graduate or General Equivalency Diploma with equivalent experience.

The ability to exercise considerable independent judgment in the performance of most daily duties.

EXPERIENCE:

Minimum three to five years� of progressively more responsible administrative skills to acquire experience-based knowledge of support functions ability to effectively coordinate an efficient workflow and a high level of organizational skills.
