Department Assistant

Summary:

Provide administrative and secretarial support primarily for assigned managers at The Autism Project (TAP). Provide secretarial support for other directors and managers as assigned. 

Responsibilities:

Answers screens and effectively handles telephone calls and walk ins providing information/resolution or forwarding as appropriate. Answers the door.

Provides information and resolves matters on own authority according to established policies drawing on knowledge of department affiliates and external organizations.

Provides administrative support to assigned staff

Provides administrative support to the organization including but not limited:

o Processing check requests

o Manages the purchase and organization of supplies

o Sorts all mail and packages daily opens and reviews incoming correspondence; prioritizes and disseminates obtaining necessary back up information prior to forwarding. Prepares responses to routine and non-routine correspondence based upon experience with or knowledge of the subject matter or as directed.

Maintains mailing lists and assists with data entry for all platforms including Free Stone FamCare and Raiser�s Edge.

Is the liaison for conference room and books reservations.

Posts information and documents to Brown University Health Intranet works with compliance to ensure all employee posters information and licenses are up-to-date and posted.

Arranges travel plans as requested to minimize travel associated costs

Reconciles monthly petty cash and helps program managers balance month cash accounts and receipts.

Books conference rooms as requested.

Performs a variety of other administrative functions involving interactions with other departments including the completion of cash vouchers check requests travel requests personnel/payroll requests and material requisitions.

Maintains adequate inventory of department office supplies. Prepares requisitions for needed equipment or supplies and submits for approval.

Demonstrates ability to utilize PC Peoplesoft and Microsoft Office software accurately and efficiently.

    REQUIREMENTS

    Associate degree or 2-3 years of relevant experience

    Bilingual Preferred
