Laboratory/Office Coordinator

SUMMARY

The Laboratory Office Coordinator plays a dual-role supporting both laboratory operations and administrative functions within a dermatopathology practice. This position is responsible for ensuring timely and accurate specimen tracking, coordinating slide distribution, and providing clerical and project-based support to dermatopathologists and the broader team.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Laboratory Support

  • Receive, count, and verify incoming biopsy specimens each morning to ensure accuracy and completeness
  • Prepare and document specimens for courier pickup, ensuring all materials are ready within established timelines
  • Coordinate specimen tracking and maintain accurate laboratory logs and records
  • Receive and distribute pathology slides to dermatopathologists promptly upon delivery
  • Ensure proper handling, organization, and storage of slides in compliance with laboratory procedures
  • Maintain clear communication with couriers, lab staff, and providers regarding specimen status

Administrative & Office Support

  • Type and format biopsy reports as directed by providers
  • File, organize, and retrieve slides for conferences, consultations, and ongoing patient care
  • Prepare and send slides to external institutions as needed
  • Assist dermatopathologists with administrative projects (e.g., CV updates, documentation)
  • Answer phone calls and direct communication as needed
  • Photocopy, fax and file documents
  • Register patients in the EHS
  • Respond to ad hoc requests and support general office workflow as needed

EDUCATION

  • High school diploma or equivalent required; additional education in healthcare, laboratory science, or administration preferred

EXPERIENCE/SKILLS

  • Prior experience in a medical office, laboratory, or administrative support role preferred
  • Knowledge of medical insurance and verifying eligibility preferred
  • Strong organizational skills and attention to detail, especially with tracking and documentation
  • Ability to prioritize time-sensitive tasks and meet deadlines
  • Proficiency in basic computer applications (e.g., Microsoft Office, electronic medical records)
  • Strong communication and teamwork skills
  • Accuracy and reliability in handling specimens and sensitive materials
  • Flexibility and responsiveness to shifting priorities
