Summary: The Lead Medical Assistants reports to the Clinical Manager. Under the general supervision and in accordance with established policies and procedures coordinates daily activities of Medical Assistants. May need to assist in the development of staff schedules and work assignments to provide for efficient practice operations. Ensures adherence to established standards of safety and quality by medical assistant staff. Provides guidance to support personnel in collaboration with the Clinical Manager and providers. Responsibilities: Develops and communicates effective staff schedules. Ensures patient schedules are appropriately supported by medical assistant staff. Maintains patient access to care appointment availability and efficient daily operations. Provides daily oversight of all scanning including labs tests and procedures. Follows up to ensure that current lab results are received and reported in the patient�s Electronic Medical Record (EMR). Ensures that all abnormal results are reported to physician/provider immediately. Maintains quality assurance safety environmental and infection control in accordance with established department policies procedures and objectives by assisting with monthly environment of care rounds reporting deficiencies and placing work orders for repairs as needed. Maintains a positive attitude and actively engages in the team approach of caring for patients. Supports the team�s goals and concepts of patient centered care by demonstrating flexibility and willingness to change. Assists the Clinical Manager in daily coordination of Medical Assistants to ensure efficient patient flow and the proper and timely follow-up of assigned tasks (in-basket items). Functions as a resource to staff to clarify schedules and practice administrative processes. Assists in mentoring training and onboarding all new Medical Assistants. Assists in yearly competency review. May monitor inventory levels to ensure supplies and equipment are on hand to meet anticipated needs. Communicates supply needs with Clinical Manager in timely manner to keep operations running efficiently. May need to reorder supplies as necessary and within level of authority. Refers orders beyond level of authority to Clinical Manager. Ensures timely receipt of materials ordered follows up as necessary to determine reason for delays and/or escalates to Clinical Manager as necessary. Ensures materials are stored appropriately upon receipt. May ensure functional reliability of equipment; identifies malfunctions and makes minor repairs and adjustments. Refers more complex problems to appropriate people for resolution and communicates escalation to Clinical Manager. Ensures all activities meet or exceed customer expectations. Greets patients warmly actively listens and assists with concerns by responding or escalating to appropriate personnel. Develops maintains and enhances relationships with others within and outside the practice including practice staff patients and families vendors and others within the Brown University Health systems to ensure rapport building. Performs registration check-in functions answers phones schedules patient appointments. Oversees patient financial process to ensure patient payments (co-payments deductibles self-pay) are obtained at time of service and are properly processed. Verifies that all necessary information is complete and accurate demographics referrals authorizations billing codes diagnoses information etc. Actively participates in committees and/or work teams. May lead practice teams related to quality improvement. Maintains and enhances own professional expertise through participation in seminars and meetings and through active pursuit of courses in leadership. Performs duties of medical assistant and provides clinic and lunch coverage for practice in times of medical assistant absence or need. When needed will to travel between clinics for coverage needs. Adheres to Medical Assistant criteria as reflected in Medical Assistant � Ambulatory job description. Manages time effectively. Fills slow periods with activities to prepare for future needs. Minimizes non-productive time. Performs other duties as assigned.
Other information: EDUCATION: High School graduate or equivalent. Completion of accredited certified medical assistant training program required. Current BLS required Demonstrates knowledge and skills necessary to provide care to patients throughout the life span with consideration of aging processes human development stages and sensitivity to cultural diversity in each step of the care process. EXPERIENCE: Minimum of five years� experience as a medical assistant in a physician office. Familiarity with medical office procedures and terminology highly preferred. Must demonstrate excellent written and oral communication skills and effective prioritization and organizational skills. Experience should demonstrate effective organizational leadership and communication skills to effectively develop effective staff and provider schedules ensure effective patient flow and function as resource to medical assistant staff. WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS: Healthcare environment such as acute care hospitals physician offices and ancillary healthcare enterprises. Works with medical equipment and has direct patient contact. Any potential hazards are minimized by adherence to established safety procedures and precautions including use of safety equipment and protective clothing. Walks and stands intermittently throughout the day. May be exposed to electrical and energy hazards. May lift and position patients and lift supplies up to 50 pounds. INDEPENDENT ACTION: Performs independently within the department�s polices and practice. Refers specific complex problems to the Clinical Manager when clarification of the departmental policies and procedures. SUPERVISORY RESPONSIBILITY: Functions as a lead or resource person for Medical Assistants � Ambulatory at multiple locations.
