Summary: The Manager of Business Operations is responsible for the daily execution of perioperative business operations across The Miriam Hospital (TMH) and Rhode Island Hospital (RIH). Reporting directly to the Director of Business Operations this role supervises front-line operational staff and ensures the delivery of high-quality accurate and efficient services across surgical scheduling charge capture staff coordination and related perioperative operational functions. This role requires a hands-on leader with excellent operational knowledge communication skills and the ability to manage complex interdepartmental workflows in a fast-paced environment. The Manager plays a key role in supporting clinical operations overseeing the scheduling functions and ensuring compliance with administrative and regulatory standards.

Operational Leadership Oversee the daily management of administrative teams Coordinate daily and long-range scheduling functions including OR Endoscopy and decentralized function of certain specialties (OMF ENT Ortho Cardiology) Ensure accurate and efficient chart preparation (paper and electronic) for surgical and procedural areas Manage surgical booking workflows ensuring procedural accuracy preference card availability and patient-specific considerations Surgical Scheduling & Coordination Lead the day-to-day scheduling process and ensure booking integrity by: Optimize surgical schedules by minimizing OR downtime managing add-ons and cancellations and addressing short-notice adjustments Communicate final OR schedule to practices Troubleshoot the complex bookings to resolve resource conflicts such as equipment staff room in collaboration with Anesthesia and Nursing leadership Work closely with PAT (Pre-Admission Testing) leadership to improve patient access streamline workflows and support process improvement initiatives that enhance the overall patient experience and operational efficiency Collaborates daily with the ambulatory scheduling coordinators to address their needs and requests to optimize the OR schedule and provide timely feedback Monitor surgical scheduling work queues (WQs) to ensure timely booking and case placement; collaborate with Ambulatory Surgical Coordinators and key stakeholders to expedite case scheduling and maintain surgical block efficiency. OR Block Administrative Management Support daily and monthly block schedule management Process block releases and reassignments Maintain a running log of relinquished time and optimize open slots Implement and track master block changes for future months Monitor filling status of OR blocks daily and availability Charge Posting Conduct scheduling clinical operational and financial audits to ensure data integrity compliance and charge accuracy Ensure accurate data entry into the OR scheduling system monitor and track errors. Generate actionable reports to services and other staff Collaborate with Procurement to resolve missing charge codes and product pricing issues to ensure timely and accurate charge posting Staff Management & Development Directly supervise and support clerical and scheduling staff Create and maintain staff schedules provide daily oversight and adjust assignments as needed Participate in hiring onboarding training and performance evaluation processes Promote a culture of accountability service excellence professionalism and cross-team collaboration Mentor and empower staff through development opportunities and consistent feedback Address performance issues proactively and participate in progressive disciplinary actions in coordination with Human Resources and department leadership Ensure all staff understand and adhere to departmental policies operational procedures and customer service standards Develop reference training and competency assessment tools Cross-Departmental Collaboration Collaborate with OR nursing PAT Anesthesia Radiology Sterile Processing Department (SPD) Cardiology Pharmacy and other key stakeholders to ensure full procedural readiness Partner with department leadership to coordinate the daily OR schedule closure and adjust as needed for urgent cases before the schedule closes Operational Data Support (RIH/TMH/NPH) Create/Disseminate operational score cards and reports that aid performance improvement and decision-making Ensure the accuracy and completeness of financial and operational data prior to month-end close Address data discrepancies and work with relevant teams to correct errors in a timely manner. Performs other duties as assigned.
Other information: EDUCATION: Bachelor�s degree preferred. Extensive directly related experience may be considered in lieu of a formal degree. EXPERIENCE: Minimum 5�7 years of experience in hospital or perioperative operations supervisory experience preferred. Demonstrated expertise in surgical scheduling OR workflow coordination charge capture and perioperative administration. Experience with Epic or comparable EHR systems required (Epic OpTime preferred). Proven ability to manage teams coordinate across departments and lead in a high-paced clinical setting. Skills: Strong leadership team management and interpersonal communication skills. Excellent customer service orientation with the ability to resolve conflicts and collaborate across clinical and administrative teams. Strong problem-solving negotiation and decision-making skills. Ability to work under pressure and adapt to rapidly changing priorities. SUPERVISORY RESPONSIBILITY: Supervisory responsibility for up to 10 FTEs.
