Summary: The Manager of Health Information Management (HIM) is responsible for the daily operations oversight and performance of designated corporate HIM functions across Brown University Health hospitals and affiliated care sites. This role ensures compliance with medical record standards federal/state regulations and organizational policies. Key responsibilities include overseeing record integrity documentation completion privacy/security practices and supporting coding workflows. The HIM Manager provides leadership to on-site HIM supervisors and staff facilitates cross-functional collaboration and serves as a liaison between HIM clinical departments coding compliance quality and IT. The position supports strategic initiatives technology transitions and process improvement across the health system.
Responsibilities: Oversee the day-to-day operations of the Health Information Department at one or more of the designated Brown University Health affiliates including staffing decisions and implementation of policies and procedures to align with the Joint Commission standards the hospital�s rules and regulations as well as the medical staff bylaws. Serves as a subject matter expert on health record documentation requirements for paper-based and electronic health record (EHR). Collaborate and assist the revenue cycle and coding staff when necessary to ensure that medical record documentation is documented in a timely manner for coding and billing. Collaborate and assist providers with medical record documentation completion. Ensure timely and accurate record completion analysis indexing abstracting scanning and deficiency tracking. Monitor compliance with regulatory and accrediting agency standards (e.g. The Joint Commission HIPAA CMS). Serves as a subject expert regarding the HIPAA Privacy Act; maintains the HIPAA Privacy Log; processing amendments accounting of disclosures and restriction requests for assigned entities. Performs security breach analysis and investigations providing follow-up to the Compliance Department. Manage the provider documentation deficiency process including notification escalation and resolution tracking. Process and report monthly delinquent deficiency rates Coordinate HIM support for tumor registry reporting quality measures and utilization review if applicable. Serve as HIM privacy and security lead for documentation and release of information practices; collaborate with compliance and legal teams as needed. Monitor and support HIM technology upgrades conversions and data integrity initiatives (e.g. EHR optimization master patient index clean-up archive systems). Participate in planning testing and go-live support for EHR and HIM-related system implementations. Run and interpret HIM performance reports and quality dashboards; develop action plans to meet or exceed targets. Provide training coaching and performance feedback to HIM supervisors and staff. Support the Corporate HIM Director in developing policies standard operating procedures and workflows. Identify and lead departmental process improvement initiatives aligned with organizational goals (e.g. turnaround times compliance scores and work queue efficiency). Support budget preparation cost-containment initiatives and resource allocation decisions. Participate in internal audits compliance reviews and regulatory surveys. Attend and present at interdisciplinary and HIM committee meetings. Monitor and maintain Health Information Management staff schedules. Manages staff attendance and any leave scheduling and arranges for appropriate coverage. Responsible for identification and status of department priorities. Responsible for departmental and related problem solving. Conducts annual performance appraisals for all employees. Ensure staff compliance with individual job descriptions. Manages and supports review approval and management of clinical forms. Reviews and updates policies and procedures as needed. Assists in the completion of various department projects. Other duties and responsibilities as assigned or needed.

QUALIFICATIONS: Required: � Associate�s degree in health information management or a related field. � Minimum of 3 years of progressive experience in HIM operations including supervisory or team lead roles. � Knowledge of HIPAA and release of information regulations. � Familiarity with EHR systems (e.g. Meditech Epic). � Proficient in Microsoft Office applications (Word Excel Outlook). Preferred: � Bachelor�s degree in health information management Health Administration or related field. � RHIT or RHIA credential from AHIMA. � Experience with enterprise HIM operations or corporate HIM shared services. � Experience with workflow automation Lean/Six Sigma or HIM analytics tools. JOB KNOWLEDGE SKILL AND ABILITY: Knowledge & Awareness of all areas related to HIM Operations. Knowledge of principles methods and techniques related to Document Imaging. Ability to manage staff schedules and shift coverage for all areas of HIM Operations. Verbal and written communication and interpersonal skills. Demonstrate tactical and analytical thinking and planning skills and can develop plans to accomplish objectives identify obstacles and resolve operational issues. Organizational and time management skills with ability to prioritize multiple projects while delivering quality service and achieving business results. Ability to supervise staff and ensure a productive workflow. Ability to operate computer printer copy machine and fax machine. Familiarity with medical terminology. Ability to perform duties independently and in a timely manner. Ability to manage detailed tasks at the same time in an organized fashion. Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several variables in common situations. Ability to successfully complete all required training and certifications Oral and written communication skills including speech grammar spelling and legibility are at sufficient level to ensure effective and appropriate communication. SUPERVISORY RESPONSIBILITY: Supervises 10 or more FTEs.
